Receivables in one financial system

Customer invoices increase accounts receivable and revenue when posted. Cash increases when receipts are recorded. AI CFO can explain outstanding invoices using those actuals.

AR sits with AP, ledger, statements, and reporting so operators are not reconciling three tools.

What the receivables screen shows

Money in is one page for invoices, receipts and aging. Each invoice row shows the invoice number, issue date, due date, total, balance due, amount received and status (draft, open, partially paid, paid or void), with a PDF download. Tiles at the top show what is outstanding, what is overdue, what falls due in the next 30 days and what you have received to date, and the side rail lists your largest customer balances.

Customers are derived from your invoices, so there is no separate customer list to keep in sync. Invoices can be plain or Indian GST tax invoices with your GSTIN, the customer's GSTIN and address, place of supply and HSN/SAC codes per line; CGST and SGST or IGST are chosen from the place of supply. Rates come from the app's table, so confirm them with your CA.

How invoices and receipts hit your books

Issuing an invoice debits accounts receivable and credits revenue and tax payable. No cash moves yet. Recording a receipt debits cash and credits receivables, and never touches revenue. That is why your P&L can show a strong month while the bank balance has not moved, and why the cash-flow statement and the receivables balance on the balance sheet explain the gap.

Aging groups every open balance by days past due into Current, 1-30 days, 31-60 days, 61-90 days and 90+ days, per customer, with totals for each bucket.

Reminders you review before anything is sent

On the Business plan, Capitallytics drafts one email and one WhatsApp reminder per customer with overdue invoices. Every amount comes from the ledger; AI may only polish the greeting and sign-off, and any wording containing a number is rejected. Nothing is sent until you send it yourself.

Today, invoices are created in Capitallytics. Spreadsheet import covers vendor bills (accounts payable), not customer invoices, and a P&L import does not create invoices.

Worked example: reading an AR aging report

The studio has four open invoices. One customer has paid part of an invoice. Here is how the aging buckets and the ledger read it. Every name and amount is invented for illustration.

AR aging by customer, in rupees (sample figures, not real data)

Orbit Media000088,50088,500
Total59,0001,18,0001,36,000088,5004,01,500
  1. Northwind's ₹1,18,000 invoice is ₹1,00,000 of fees plus 18% GST of ₹18,000. Posting it added ₹1,00,000 to revenue, ₹18,000 to tax payable and ₹1,18,000 to receivables. Cash did not change.
  2. Kestrel's ₹2,36,000 invoice was due on 10 September. A ₹1,00,000 receipt moved cash up and receivables down, leaving ₹1,36,000 that is 51 days late, in the 31-60 bucket. Revenue was not touched by the receipt.
  3. Overdue is everything outside Current: ₹1,18,000 + ₹1,36,000 + ₹88,500 = ₹3,42,500 of the ₹4,01,500 outstanding.
  4. Orbit's ₹88,500 is 108 days late. That is the conversation to have first, and the Business plan drafts the reminder for you to send.

Aging turns one receivables total into a list of who owes what and for how long, straight from the same ledger that produces your statements.

Accounts Receivable FAQ

Short answers on plans, data handling and how this works, before you sign up.

Does Capitallytics include accounts receivable?
Yes. Business Workspace includes Accounts Receivable for customer invoices and outstanding balances, connected to the account book.
Which aging buckets does Capitallytics use?
Current, 1-30 days, 31-60 days, 61-90 days and 90+ days past due, per customer, with bucket totals.
Does recording a receipt change revenue?
No. Revenue is recognised when the invoice is issued. A receipt moves money from receivables to cash, so it shows in the cash-flow statement, not as new revenue.
Can I create GST invoices?
Yes. An invoice can be an Indian GST tax invoice with GSTINs, place of supply, HSN/SAC per line and CGST+SGST or IGST. Rates come from the app's table; confirm them with your CA.
Are payment reminders sent automatically?
No. On the Business plan, Capitallytics drafts an email and a WhatsApp message per customer with overdue invoices. You review and send them yourself.
Can I import customer invoices from Excel?
Not yet. Spreadsheet import is available for vendor bills. Customer invoices are created in Capitallytics, and each one can be downloaded as a PDF.
